Creating One-Off Sharing Links From Inside Your Data Room
Once a data room is set up, it’s tempting to treat it as the only way to share documents. Someone needs a file, so you add them to the room. But in any active process, a steady stream of people need just one or two documents, and adding each of them to the data room creates problems.
Who needs one-off access

Control who can open it, public or restricted to a specific email address.
Decide whether downloads are allowed.
See whether it was opened.
End access when the need is over, without touching anyone’s data room permissions.
Because the link comes from the same place your documents live, you’re always sharing the current version, not a copy you downloaded and attached to an email last week.
A simple rule
Use data room access for people doing sustained review. Use one-off links for people who need specific documents for a specific purpose. If someone asks for a single document, reach for a link first.
