How to Use a Secure File Request Link
Most discussions about secure file sharing focus on sending documents out. But companies spend just as much time getting documents in: from employees, advisers, clients, founders, lawyers, and accountants.
A secure file request link is the simplest tool for that job.
What a file request link is
A file request link is a URL you share with people so they can upload documents directly to you. Instead of attaching files to an email, the sender opens the link, drops in their documents, and they arrive in the place you’ve designated.
The sender doesn’t need an account or access to your folders. They only see the upload page.
Why it beats email attachments
Documents land in the right place. Attachments stay in whoever’s inbox received them. A request link sends files straight to the right record.
Nothing gets buried. Emails with attachments disappear under everything else in an inbox. Uploads don’t.
Senders can’t see your other files. Unlike giving someone access to a shared folder, a request link lets them upload without seeing anything else.
Large packages are easier. Sending many documents by email means several messages and attachment size limits. An upload page handles them in one go.
When to use one
Collecting company records from employees, founders, and departments.
Gathering documents for diligence from the people who hold them.
Receiving client documents, for law firms, accountants, and auditors.
Onboarding, when new clients, applicants, or partners need to submit materials.
Receiving pitch decks, for investors who want an easy way for founders to submit.
How to set it up securely
Decide who can use it. Some request links are open to anyone with the link. Others should be limited to permitted people. For anything confidential, limit it.
Approve before accepting. If documents are going into an important record, such as a data room or a corporate minute book, review submissions before they’re added.
Tell people what you need. In the message where you share the link, say what documents you’re asking for and any deadline.
Know where uploads go. Each request link should route to a specific destination, so documents for one matter or company don’t mix with another’s.
How DocChief helps
Every DocChief data room comes with its own secure file request link. Share it with the people you need documents from, and their uploads go directly into that data room, into the folders they belong in. You can make the link public or limit it to permitted people, and require your approval before submissions are added. DocChief then organizes the documents automatically as they arrive.
